For most companies, e-mails now account for the majority of communications with clients, partners, co-workers and other internal and external parties.
Industry analysts estimate that the average knowledge worker spends over two hours each day working on e-mail, a figure that is expected to double by 2005. As the volume of e-mail and its importance to companies rises, effectively managing the volume of e-mail is becoming an increasingly serious problem for many companies.
Today, critical business content, including documents, spreadsheets and presentations, ends up scattered in in-boxes, document management systems, local hard drives and PST files, forcing employees to search between these systems for the content needed to do their jobs, and resulting in significant lost productivity.
E-mail volume is unnecessarily high because e-mail is inappropriately used for collaboration, such as routing and editing documents, and discussing issues among peers.
For many companies, a majority of content is received as e-mail attachments, which are often forwarded. It is estimated that upwards of sixty percent of attachments end up as duplicates.
This not only creates inbox overload, it also leads to storage and performance issues with many e-mail systems today.
In addition, there is no framework for enforcing the company-wide e-mail retention policies that are essential for compliance with new regulations and, in the event of a legal challenge, making discove ry a costly and time-consuming process.
An e-mail management system is becoming a necessity for employees to organize, locate and share their e-mail content to help increase productivity.
iManage, provider of collaborative content management software for global enterprises, announced the availability of its E-mail Management solution.
This solution combines the WorkSite Communication Server, a new product, with enhancements in MailSite and other Worksite applications to allow companies to deal with e-mail overload effectively.
The E-mail Management solution allows inbound and outbound e-mails to be directly captured and classified in the content repository alongside documents, spreadsheets, presentations and other relevant business content. This solution is aimed at organizations to increase efficiency and productivity, improve customer service and enforce retention policies that aid compliance with corporate accountability regulations.
The new product, WorkSite Communication Server, is available now at a cost of $5,000 per server and $129 per user.
